Uber for Business is ACU’s new preferred ground transportation provider, in circumstances where public transport is not practical. We have successfully completed Stage 1 of the rollout by inviting ACU purchase card holders to activate to ACU’s Uber for Business account. Staff using Uber are reporting finding it extremely easy and convenient to use.
In Stage 2, your Dean/Director has been asked to provide the following information via your Portfolio Management Accountants and Finance Faculty Managers/Finance Managers:
Nominate a minimum of two staff members as Uber Central bookers in your area to book ad-hoc trips for staff who travel infrequently and/or don’t want to join Uber, students and ACU guests.
Provide a list of frequent travellers, who aren’t purchase card holders, who they consider to be pre-approved to be given access to Uber for Business, to allow those staff to self-book through the app.
Staff will be progressively added onto Uber for Business as information is provided to Finance. Staff that have been nominated as one of the above will receive an invitation by email to activate to ACU’s Uber for Business account.
Every staff member added to Uber for Business to self-book will have an appropriate ACU reviewer’s email address added to their profile. This reviewer may be the staff member’s Line Manager or Director or another designated staff member. Each trip will generate a reviewer record showing the date, time, location, fare price, car type and other data linked to the trip. Reviewers will receive a report (of all trips taken by the staff they are reviewing) by email each Tuesday morning, to be reviewed for any anomalies. Ask a staff traveller to provide clarifying or correcting information, such as Project Code. NB: This could potentially include requesting that a staff member put a trip back to their ‘personal’ Uber account if a personal trip has been accidentally selected for business travel.
Staff who incur a ground transportation expense while Stage 2 of Uber for Business is being rolled will need to complete the staff reimbursement process to be reimbursed. Complete the Staff Reimbursement Form and email to email@example.com
If you have not yet been able to activate the business account, that is ok, you should still attend. If neither of these times work, please still register as a recording will be sent out after the session.
