Description

Course Coordinators have the authority to approve waivers that allow students to enrol in units where standard restrictions would otherwise prevent enrolment. These waivers are applied on a study period basis and should be considered carefully and in accordance with academic regulations.

Submitting Waiver Requests

Students may request a waiver by submitting the Unit Enrolment Waiver Form via the AskACU Portal. Course Coordinators may also submit waiver requests on behalf of students via Service Central.

If the waiver request applies to multiple students, a Bulk Waiver spreadsheet template is available for the following waiver types:

  • Prerequisite Waiver
  • Repeat Unit Waiver
  • Campus Unit Waiver
  • Course Restriction Waiver
  • Cohort Waiver
  • Mutual Waiver

This template can be accessed through Service Central.

Types of Unit Enrolment Waivers

  • Prerequisite Waiver - Permits a student to enrol in a unit without having completed the required prerequisite(s).
    Once approved, the student will be able to enrol in the unit via Student Connect.
  • Repeat Unit Waiver - Allows a student to enrol in:
    • A unit they have previously successfully completed, or
    • A unit that is considered equivalent to one they have already passed.
      Refer to Academic Regulations Clauses 52 and 53 regarding the repeat of previously completed units.
  • Campus Unit Waiver - Enables a student to enrol in a unit at a different campus than their home campus, where a campus restriction exists.
  • Course Restriction Waiver - Allows a student to enrol in a unit that is outside their enrolled course.
    Important: Course Coordinators should consult with the Course Coordinator or Discipline Lead of the unit in question. Course restrictions are usually in place for academic or curriculum integrity reasons and should not be waived without proper discussion and consideration.
  • Cohort Restriction Waiver - Permits a student to enrol in a unit that has been restricted to a specific cohort
    An enrolment error will notify the student that the unit is restricted due to Faculty-imposed settings.
  • Mutual Restriction Waiver - Allows a student to enrol in a unit that is considered mutually exclusive with another they have completed. These are often equivalent or updated versions of previous units.
    Students are not permitted to enrol in a unit if they have already passed an incompatible (INC) unit.
    Example: THEO228 is incompatible with THCT202. If a student has already completed THEO228, they cannot enrol in THCT202, and vice versa.

Additional Notes

  • All waivers are study period based; students will need to reapply for waivers in future study periods if necessary.
  • Course Coordinators may use Service Central to submit any of the above waiver types on behalf of students.
  • Approval should always be informed by academic regulations, course requirements, and consideration of the student's academic progression.

Guide for Course Coordinators: Requesting Enrolment Restrictions

1. Configuring Prerequisites

Prerequisites for a unit are managed via CMAS.

To review or update prerequisites:

- Search for the relevant unit in CMAS and open the latest published version (e.g., for EXSC310, open version V6.1).

- Expand the 'Unit Description' section and scroll to the 'PREREQUISITES (FOR BANNER)' area.

- The units listed here, along with any conditional logic, are the current prerequisites for the unit.

To make changes:

- Contact the Faculty Governance Office for assistance to edit the prerequisites section as required.

- The changes will progress through the necessary approval phases.

- Once approved, the Curriculum Management team will publish a new version, and the prerequisite amendments will be automatically updated in Banner.

2. Configuring Mutual Exclusions

Mutual exclusions (non-equivalent units) are also managed in CMAS.

To review or update mutual exclusions:

- In the same 'Unit Description' section, locate the 'NON-EQUIVALENT UNITS (FOR BANNER)' area.

- List any mutually exclusive units in this section.

3. Requesting Course, Campus, or Cohort Restrictions

To request course, campus, or cohort restrictions for a unit:

- Access the relevant Faculty CRN spreadsheet on SharePoint. Each faculty has a dedicated spreadsheet.

- If you do not have access, request it. Once approved by the Systems Operations team, you will be granted access.

- For example, the Faculty of Education & Arts uses this file:

2025 EA Units.xlsx

- Open the file, select 'Check Out', and navigate to the worksheet titled 'Restrictions'.

- Enter your request, providing all relevant unit details.

Important: Remember to check the file back in after making your changes.

- Email the Systems team at student.systems@acu.edu.au to request that your restriction be actioned.

The Student Systems Operations team will process your request in Banner and notify you upon completion.
